Buckeye Western Horse Association Constitution
Article I – Name
Section 1. The name of the society will be Buckeye Western Horse Association (BWHA), with its principal place of business at Findlay, Ohio, and operating the Buckeye Classic Quarter Horse Show located at Findlay, Ohio.
Article II – Object
Section 1. The object of BWHA shall be to promote horse related activities, for both its members and the community with in the Hancock County area. BWHA is able to do this through conducting a yearly AQHA Horse Show with proceeds going to help local 4-H Horse Clubs, Hancock County Fair Equine Department and a Horse Scholarship Program.
Article III – Membership
Section 1. Members do not need to be residents of Hancock County. A qualified person may become a member, on payment of a fixed fee payable annually and shall be duly registered as a member on the records of the society for the calendar year for which the membership fee is paid. The fee for membership shall be fixed by the membership of the Society.
Section 2. A membership roster shall be kept by the secretary of the society, subject to public inspection at all times.
Article IV – Voting
Section 1. Members with dues paid shall be entitled to one (1) vote per member. Members do not need to be present and can vote via phone conference. Amendment changes must have a majority of the membership present. (See Article VI)
Article V – Duties of Officers
Section 1. President: The president shall preside at all meetings of the membership. The president shall exercise, subject to the control of the membership, a general supervision over all affairs of the society and shall perform generally all duties incident to the office and such other duties as may be assigned to him by the membership from time to time.
Section 2. Vice President: The Vice President shall perform all duties of the President in his absence or during his inability to act and shall have such order and further other powers and shall perform such other and further duties as may be assigned to him by the membership.
Section 3. Secretary: The Secretary shall keep the minutes of all proceedings of the membership and make a proper record. The Secretary shall keep such books as may be required by the membership, shall keep a roll of the members of the Society and shall conduct the correspondence of the Society.
Section 4. Treasurer: The treasurer shall:

- Assume custody and responsibility of all funds and/or Securities of the Society.
- Be responsible for all deposits and withdrawals of monies into and out of a banking designated by the Society.
- Be responsible for maintaining an accurate and legible accounting system and associated record.
- Be responsible to receive all money coming into the Society, legible account system and associated records.
- Be responsible for disbursements of all monies by check, cash, money orders, etc.
- Be responsible for preparing monthly and an annual report of any monies received and/or disbursed during each respective reporting period.
- Be responsible for submitting all Federal, State & Local tax reporting requirements.
- Maintain a file of financial records as may be required by Federal, State and Local law.
Article VI – Amendments
Section 1. Amendments or alterations of the constitution may be made at any monthly meeting of the members. The amendment will be reviewed for one month to allow all members time to read. On the second monthly meeting a majority vote of the members present shall be necessary to adopt.

Article I – Quorum
Section 1. A majority of the members shall constitute a quorum for the transaction of business of the Society.
Article II – Meetings
Section 1. The day and time of the regular monthly meetings of the Society shall be established at the January meeting of each New Year. A location shall be designated by the President.
Section 2. The president or vice president may call regular or special meetings of the membership, at any time deemed necessary.
Section 3. Notice of special meetings can be delivered personally to each director, by phone, or by email. The notice need not specify the purposes of the meeting.
Article III – Order of Business
Section 1. The order of business shall be:

- Hearing of all guests
- Reading and approval or adoption of past months minutes
- Treasures Report
- Report of Officers
- Old Business
- New Business
- Adjournment/Date of next meeting
Article IV – Committees
Section 1. Members shall volunteer for committees and carry out the operation of BWHA Classic Show.
Section 2. Each committee shall prepare a budget annually for the membership.
Article VII – Compensation
Section 1. The membership shall receive such compensation as society may determine. Members may be paid for admission to horse-related events or stall/camping fees to BWHA Classic Show. Exceptions such as members attending AQHA Conventions must be approved by society.
